Holiday calculations

Holiday maths, done by something that never miscounts.

Entitlement and accrual worked out automatically for every member of staff, including the part-time, casual and irregular-hours patterns that make veterinary teams hard work on a spreadsheet. Requests and approvals live in the same place.

01Why it matters

Holiday entitlement is simple until the hours are not. Then it eats a manager's evening.

Veterinary teams rarely fit a tidy nine to five. Part-time RVNs, weekend receptionists, casual cover and patterns that change week to week all carry different entitlement rules, and a spreadsheet does not know any of them.

This system models each contract once, then keeps every balance current on its own. Staff see where they stand, managers see clashes before they say yes, and nobody loses an evening reconciling rows by hand.

02How it works

Set it up once, trust it all year.

From the first contract modelled to the calendar that stays honest.

1

Model each contract

Full-time, part-time, casual and irregular patterns each get the entitlement rules that actually apply to them.

2

Accrual runs itself

Balances build automatically as people work, including for staff whose hours change week to week.

3

Requests flow to approval

Staff request leave in the system. Approvers see balances and clashes before they say yes.

4

The calendar stays honest

Approved leave appears against the rota, so a small team never discovers a clash the week it happens.

03What it replaces

The entitlement spreadsheet and the quiet dread.

The spreadsheet way
Accrual worked out by hand for irregular hours
Requests by text, sticky note or corridor chat
Two nurses booked off the same week, discovered late
Year-end disputes about carried-over days
With holiday calculations
Accrual calculated automatically from actual patterns
One request flow with an approval record
Clash warnings before approval
Balances visible to staff and managers all year
04Who it suits

Small teams where every absence matters.

In a practice of eight, one approved week off changes the whole rota. This system suits practices juggling mixed contracts, part-time RVNs, weekend receptionists and changing patterns, where the holiday question is never quite simple.

  • Handles part-time, casual and irregular-hours staff
  • Approved leave feeds the rota system automatically
  • Balances exportable for payroll and year-end
Mixed contracts
Every pattern.

Full-time, part-time, casual and irregular hours sit side by side, each on its own entitlement rules. Add a contract and the accrual simply follows.

Holiday calculation FAQs

Can it handle irregular-hours and casual staff?

Yes, that is the hard case it was built for. Accrual follows the hours actually worked, so staff with changing patterns get a fair, current balance rather than an estimate.

Does it stop two key people booking the same week off?

It warns the approver about clashes before they approve, including role clashes such as two RVNs off at once. The decision stays human, the information arrives in time.

What about bank holidays and carry-over?

Both are modelled according to your contracts and policy. Where your current paperwork is ambiguous, we flag it, and our contracts service can tidy the underlying wording.

What does it cost?

Quoted per practice: setup fee plus subscription for hosting, maintenance and support. Written quote first, always.
