Privacy policy

This policy explains what personal data Vet HR collects through this website and in delivering our services, why we collect it, and the rights you have over it. We have written it in plain English on purpose.

Who we are

Vet HR provides HR consultancy and staff management systems to UK veterinary practices. For data collected through this website, the data controller is Vet HR. What we collect, and why

Forms you submit

When you use a contact, health check or referral form we collect what you type: typically your name, practice name, email address, phone number if you give it, and your message. We use it to reply to you and to handle whatever you asked about. The lawful basis is our legitimate interest in responding to enquiries, and consent where the form asks for it. Form submissions are emailed to us and stored within this website's database.

Technical and usage data

Like most websites we collect technical data when you visit: IP address, browser type, pages viewed and how you arrived. We use analytics to understand how the site is used (currently Jetpack statistics and HubSpot tracking). We also identify, from IP addresses, the organisation behind business visits, for business-to-business marketing purposes under legitimate interest. This identifies companies, not private individuals, and no personal data is sold.

Cookies

Cookies are managed through the consent banner (CookieYes), where you can accept, reject or customise non-essential cookies. Essential cookies needed for the site to function are always on. You can change your choice at any time from the cookie settings link.

Client data when we deliver services

If your practice becomes a client, we process the data needed to deliver the engagement: contact details, contract and policy documents, and, where your practice uses a Vet HR staff system, the staff data your practice puts into it (such as rotas, hours and leave records). For that system data, your practice is the controller and Vet HR is the processor, acting on your instructions under a written agreement. We do not sell, share or mine client staff data.

How long we keep data

Enquiry data is kept for as long as needed to handle the enquiry and a reasonable follow-up period, then deleted. Client engagement records are kept for the duration of the engagement and the period required for legal and accounting purposes. System data belongs to the client practice and is exported or deleted on instruction, including at the end of an engagement.

Who we share data with

Service providers that make this website and our work function: our hosting provider, email delivery, analytics and form processing as named above. Each processes data under its own safeguards and our instructions. We do not sell personal data to anyone.

Your rights

Under UK GDPR you can ask us for a copy of your personal data, ask us to correct it, ask us to delete it, object to processing based on legitimate interest, and withdraw consent where processing is based on consent. Email hr@vethr.co.uk and we will respond within one calendar month. Every marketing email we send includes a working unsubscribe link.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would appreciate the chance to put it right first.

Changes to this policy

When we change this policy we update the date at the top, and where a change is significant we say so plainly on this page.
