Policy library

Policies that exist, stay current, and can prove they were read.

A policy library written for your practice, hosted in one place, version-controlled, and acknowledged by every member of staff. The difference between "we have a policy somewhere" and "here it is, signed".

One source of truth Acknowledged per version White-labelled to your practice
Disciplinary policy: v4, signed

01The point of it

A policy nobody can find is not a policy. It is a liability with a title page.

Most practices have policies. Fewer can say where the current version lives, when it last changed, or who has actually read it. That gap is invisible right up until an inspection or a dispute, when it becomes the only thing that matters.

The policy library closes it. Written for veterinary reality, hosted in one place, and acknowledged on the record by every member of staff.

02How it works

From dusty folder to living library.

Four moving parts, working quietly in the background.

We write or refresh

Policies drafted for veterinary reality through our consultancy projects, not copied from a generic HR template pack.

Everything lives in one place

Staff find the current version in seconds. There is exactly one source of truth, and it is never a printout.

Staff acknowledge each version

Reading is recorded per person, per version. New starters get a clear list of what to read in week one.

Updates reach everyone

When a policy changes, the team is notified and re-acknowledges. No more "nobody told me" three months later.

03What it replaces

The folder on the shelf and the version nobody trusts.

The old way
Policies in a binder from several years ago
No idea who has read what
Updates emailed and lost
Panic before an inspection or dispute
With the policy library
Current versions, hosted and dated
Acknowledgement recorded per person and version
Updates notified, tracked and re-signed
Evidence available in two clicks
04Who it suits

Every practice with more policies than time.

If your team has grown faster than your paperwork, or a recent near-miss made you wonder what the disciplinary policy actually says, this is the quiet fix. It pairs naturally with a policy suite project to get the content right first.

Incident follow-ups, joined up

Works alongside See It Report It so the policy behind every report is one click away.

New starters, sorted

Reading lists built in, so week one is a clear checklist of what to read, not a scramble through shared drives.

Yours, and access-controlled

White-labelled to your practice and controlled by role, so the right people see the right documents and nothing else.

v1
When it counts

The record you want to be holding.

If a dispute ever turns on "nobody told me", the answer is a named member of staff, a specific version, and the date they confirmed they had read it. Held, dated, reportable.

05Questions

Policy library FAQs

Do you write the policies or just host them?

Both, in whatever combination you need. Many practices start with a policy suite project to get the content right, then keep it current through ongoing support. If your policies are already good, we host and track them as they are.

What counts as acknowledgement?

A named member of staff confirming they have read a specific version on a specific date. That record is kept and reportable, which is precisely what you want to be holding if a dispute turns on "nobody told me".

What happens when employment law changes?

On subscription, affected policies are updated, the team is notified and acknowledgement runs again. Without subscription, you can update documents yourself or commission a refresh.

What does it cost?

Quoted per practice: setup plus subscription. Content writing is scoped separately as a consultancy project, so you only pay for what you need.
