Rota system

The rota should not be the hardest shift of the week.

A veterinary rota system that builds, publishes and balances shifts in minutes, shares out-of-hours fairly, and warns you about gaps before they become emergencies. White-labelled to your practice.

01How it works
How it works

From blank week to published rota in four moves.

One pattern set up, then a rhythm you repeat every week without the dread.

Set your patterns

Shifts, roles and out-of-hours cover modelled once, around how your practice actually runs.

Build the week

Fill the rota in minutes. Conflict warnings flag double-bookings, missing cover and unfair OOH loads as you go.

Publish to the team

Everyone sees their shifts on any device. No printouts, no photographed staff-room noticeboards.

Handle changes calmly

Swap requests flow through the system with approval, so changes are recorded instead of remembered.

02What it replaces
What it replaces

The spreadsheet, the group chat and the guilt.

Before
A spreadsheet only one person understands
OOH lands on whoever complains least
Swaps agreed in WhatsApp, forgotten by Friday
Gaps discovered the morning they happen
With the rota system
A shared rota anyone authorised can run
Cover shared visibly and fairly across the team
Swaps requested, approved and recorded
Conflict and gap warnings before publishing
03Who it suits
Who it suits

Built for teams of five to fifty.

Independent and small-group practices where the rota is run by a practice manager, a head nurse or an owner who has better things to do with a Sunday evening. If your team spans vets, RVNs, receptionists and part-timers with different patterns, this is the shape of problem we built it for.

  • Out-of-hours and on-call rotas included, not an add-on
  • Works alongside clock in and out for actual-versus-planned hours
  • White-labelled with your practice's name and colours

Practice managers

Run the week without becoming the single point of failure everyone phones at 8am.

Head nurses

See OOH and on-call shared fairly, with the load visible instead of quietly resented.

Owners

Get a Sunday evening back. The rota runs on a system, not on your memory.

Mixed teams

Vets, RVNs, receptionists and part-timers on different patterns, handled in one view.

04Inside the rota
Conflict warnings

It tells you what is wrong before the team does.

The point of the rota is not a pretty grid. It is catching the double-booking, the missing cover and the lopsided OOH load while you can still fix them quietly.

  • Double-bookings and missing cover flagged as you build
  • Unfair out-of-hours loads surfaced before you publish
  • One conflict shown here, caught a week early

Rota system FAQs

Can it handle out-of-hours and on-call rotas?

Yes, and that is the point. OOH and on-call patterns are modelled alongside day shifts, so the load is visible and shared rather than hidden in a separate sheet.

What happens when someone wants to swap a shift?

They request the swap in the system, the right person approves it, and the rota updates for everyone. There is a record of who changed what and when.

Is it really built for our practice, or configured from a template?

Built for your practice. We model your roles, shift patterns and cover rules first, then build the system around them. That is also why it carries your branding rather than ours.

What does it cost?

Builds are quoted per practice, because every practice is different. The structure is a setup fee plus an ongoing subscription that covers hosting, maintenance and support. You get a written quote before anything starts.
